Job Description
Behavioral Health Home (BHH) Program Assistant will work closely with the BHH Manager of Provider Relations and Coordination to help with managing and supporting the BHH provider community on all aspects of the BHH contract.
This may include, but is not limited to, data management, scheduling and assisting with quarterly provider meetings, in-person meetings and monthly health observances. This position will be responsible for assisting manager in ensuring that applicable contract performance goals are met.
This position will represent ABH® and its services in a positive and professional manner and adhere to ABH®’s best practices, guidelines, policies and procedures as established, promoting ABH® as a leader in behavioral healthcare in all interactions and work.
Duties and Responsibilities
Provide and coordinate a wide variety of administrative and provider relations support tasks for the Behavioral Health Home (BHH) program
Provide support to designated BHH providers including orientation and education of providers and staff and incorporating BHH contract policies and procedures
- Provide telephone support for incoming calls to BHH queue line when needed
- Provide coverage, as needed, in the absence of the BHH Manager.
- Attend program meetings, workgroups, and committee meetings, with BHH manager or representing the BHH program on behalf of ABH, Inc.
- Take comprehensive, accurate, and well-organized meeting notes as requested by BHH manager.
Prepare, proofread, and distribute clear, concise, and grammatically accurate meeting minutes within established timeframes
Provide support and leadership with program-related tasks and projects, including preparing and distributing provider communications, newsletters, announcements, and educational materials.
Assist with annual provider surveys, preparing and distributing training materials, and coordinating and conducting on-site visits with DMHAS and/or provider staff.
Perform member eligibility verification in a timely manner to support timely enrollment into the Behavioral Health Homes Program
- Maintain and update BHH provider master contact list on a quarterly basis
- Assist with annual provider credentialing/recredentialing activities
Communicate professionally with designated BHH providers, clients, community organizations, state partners and stakeholders, and internal departments regarding program-related inquiries.
Maintain confidentiality of all clients protected health information and adhere to all HIPAA related policies and procedures and report HIPAA violations to appropriate officer at ABH®
- Travel within the state to meet program requirements
- Attend annual Conflict of Interest training, HIPAA training and all training required of Programs and/or DMHAS
- Demonstrate ethical conduct, professionalism, and cultural competence in all interactions.
- Perform other tasks/responsibilities as required to support the business operations.
Education and Experience Requirements
- Bachelor's degree required in social work, public health, or closely related field
- 5 years of administrative or provider relations experience, preferably in a healthcare, behavioral health or insurance-related setting.
- Experience in data analysis required;
Knowledge/Skills/Abilities
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and Microsoft Teams
- Strong oral, written, and interpersonal communication skills
- Demonstrate an understanding of Medicaid, Medicare, health promotion, whole person health, integrated care, social divers of health
- Excellent problem-solving skills, high attention to detail, and the ability to work independently
- Proficiency in creating presentations, training documents, reports, and analytical graphs a plus.
- Demonstrated ability to write accurate, easily understood, instruction and documents.
- Demonstrated ability to work successfully and effectively in collaboration with internal and external customers such as a network of community-based service providers;
- Must be flexible to respond quickly and positively to shifting demands and change management opportunities;
Environmental Factors and Physical Requirements
While performing the duties of this job, the associate is required to have ordinary ambulatory skills sufficient to visit other locations and the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10 – 20 pounds.
Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp and visual acuity to use a keyboard, operate equipment and read application information. The associate frequently is required sit, reach with hands and arms, talk and hear.
Regularity and consistency of attendance is essential to ensure high quality service and ultimately a productive department and company.
